Financial Stewardship & Procurement

Responsible use of every resource

At YALPAE, financial stewardship is part of our mission. We manage funds, donations, partnerships, sponsorships, and procurement with integrity, transparency, accountability, and care.

Every contribution, whether financial or in-kind, should strengthen our work, protect public trust, and support our mission of building a capable, conscious, and responsible generation of African youth.

Why this matters

Strong governance protects both mission and people.

YALPAE believes that resources should be used responsibly, decisions should be made fairly, and support should be handled in ways that reflect our values. Financial systems are not just administrative tools. They are part of how we stay accountable to our members, communities, partners, and supporters.

Our financial principles

YALPAE manages its finances according to a few clear public principles:

1. Mission alignment

Resources must support YALPAE’s purpose, programmes, and long-term sustainability.

2. Integrity

Funds, assets, and organisational opportunities must never be used for personal gain or for purposes that conflict with YALPAE’s values.

3. Accountability

Financial decisions must follow proper governance and oversight processes.

4. Transparency

We are committed to clear reporting, responsible record-keeping, and appropriate public accountability.

5. Responsible stewardship

YALPAE treats financial resources as resources held in trust for youth development and community impact.

How YALPAE is funded

YALPAE may receive support through a range of lawful and mission-aligned sources, including:

  • Membership contributions
  • Voluntary donations
  • Grants
  • Fundraising campaigns and events
  • Sponsorships
  • Partnerships
  • Approved investments
  • In-kind support such as venues, equipment, services, tools, media support, and professional expertise

We may decline support that compromises our independence, conflicts with our values, or creates unacceptable reputational or governance risk.

Accountability and oversight

YALPAE’s financial governance is overseen through its leadership and governance structures.

this includes:

  • board-level fiduciary oversight
  • treasurer oversight on financial governance matters
  • financial reporting through approved governance channels
  • annual review or audit processes where required
  • organisational record-keeping and compliance systems

This structure helps ensure that resources are used responsibly and that financial decision-making is not left to informal or undocumented practice.

Procurement with fairness and integrity

YALPAE’s procurement approach is guided by fairness, transparency, value, and accountability.

When we obtain goods, services, resources, or formal support, we aim to ensure that decisions are:

  • Ethical
  • Properly documented
  • Aligned with organisational needs
  • Free from improper influence
  • Focused on value, suitability, and mission alignment

Procurement is not limited to purchases alone. It can also include services, consultancy, event support, equipment, venues, and certain forms of partnership or in-kind contribution.

Youth-centred and mission-aligned sourcing

Where appropriate, YALPAE seeks to support youth empowerment through its sourcing and partnership practices.

This may include fair consideration of:

  • Youth-led businesses
  • YALPAE members operating relevant businesses
  • Enterprises committed to sustainable and inclusive development
  • Mission-aligned service providers and collaborators

This does not replace ethical standards, fair process, capability checks, or accountability requirements. Preference must still be responsible, documented, and aligned with public trust.

In-kind support, partnerships and written agreements

Not all support comes in cash. Some support comes through skills, venues, services, equipment, mentorship, logistics, or other non-monetary contributions.

Where support involves defined obligations, deliverables, sponsorships, or procurement-related arrangements, YALPAE uses written agreements or memoranda of understanding to clarify:

  • The purpose of the support
  • Roles and responsibilities
  • What is being provided
  • Expected deliverables
  • Duration and accountability
  • Any relevant communication, branding, or reporting expectations

This helps protect both YALPAE and the supporting party by ensuring that the relationship is clear, lawful, and accountable.

Conflict management and institutional independence

YALPAE takes conflict of interest seriously.

People involved in governance, finance, procurement, or decision-making are expected to disclose relevant conflicts and step back from decisions where impartiality may be affected.

We also reserve the right to decline or end funding, sponsorships, supplier relationships, or partnerships that:

  • Create unmanaged conflicts of interest
  • Undermine our independence
  • Present serious reputational risk
  • Conflict with our mission, values, or safeguarding responsibilities

Institutional trust matters more than convenience.

Transparency and public reporting

YALPAE is committed to sharing appropriate public information about governance, financial stewardship, and accountability.

This may include:

  • High-level financial information
  • Organisational accountability updates
  • Major partnerships or sponsorships where appropriate
  • Governance and reporting information through official channels

At the same time, some internal controls, confidential records, and sensitive operational processes are not published publicly for legal, governance, privacy, and security reasons.

Transparency does not mean exposing information irresponsibly. It means sharing what supports trust while protecting what must be handled carefully.

What supporters can expect from YALPAE

When individuals, organisations, or institutions support YALPAE, they can expect us to aim for:

  • Responsible and mission-aligned use of resources
  • Ethical and fair procurement practices
  • Clear governance and oversight structures
  • Written documentation for material support and partnerships
  • Respect for accountability, independence, and public trust
